Welcome to Transferology Lab! The Transferology User Guide for School Administrators is written specifically for School Administrators, whose functions include school management and managing course bundles; State Coordinator functions include changing schools and managing course bundles. This User Guide is a brief, function-focused document that was written to guide the user through the application, thereby supplementing the Help and overlay features already built into Transferology.

First, a basic overview of the application is presented, followed by key user functions for School Administrators in the remainder of this guide.


Before proceeding, some basic, higher-level details about navigation, access, and design of the application can assist you as you work. Click here for the basics!


Upon successful login to Transferology Lab, the School Management page is generated. The menu bar is populated with five options:

  1. Advising & Recruiting
  2. Rule Management
  3. Program Setup
  4. School Profile
  5. User menu

These menus contain functionality that is specific to the logged in Administrator, as described in detail below.


School Administrator Functionalities

Advising & Recruiting menu

The Advising & Recruiting menu contains functionalities that include transfer equivalencies, replacement courses, course bundles, and programs.

Transfer Equivalencies

Transfer Equivalencies is a robust feature that allows all Lab users to view comprehensive lists of all of the equivalencies that subscribing schools have defined.

Replacement Courses

The Replacement Course page allows users to assist the student who approaches them for guidance in taking a course at another school (over the summer, for example) at their leisure in order to transfer it back to their home school. Therefore, Replacement Course functionality is a sort of reverse lookup: select the course at the distant school to determine where a student can take it to get the credit transferred back.

Course Bundles

The Course Bundles functionality simulates the student's user experience in Transferology by allowing users to locate schools that accept transfer coursework and run student audits. Users have the capability to create multiple bundles, thereby streamlining their workflow.

The Programs page allows Lab users to view the program lists for different schools to create What-if audits (where available). Programs may be run for any school with integration connected to its degree audit. Schools can also display a list of programs with descriptions and a link to the school's website for more information.

Rule Management

TES Evaluations

All Lab users can view/filter their school's evaluation tasks from the Rule Management menu option for TES Evaluations. The table provides a listing of all requests submitted for TES evaluation, in addition to filter and sort capabilities that the user can apply to the table to customize the display.

Program Setup

The Program Setup menu contains program functionality to Manage Programs for ALL School Administrators:

The Program Questions page allows Lab users to add program questions and answers and add/change information presented to a student on a plan. This functionality allows schools to ask Transferology users questions about their intentions or past academic history, which may then be used to add a minor to a program or find out if a student has completed a state transfer module or degree. Much of the terminology used for the field names are DARwin/uAchieve-specific.


Access is limited to only those schools with audits enabled.

Audit Setup

School degree audit properties are manageable for those users in the roles of School Administrator and Program Administrator.

Pending Audit Requests

Pending Audit Requests provide the user with details about the audit request for the purpose of tracking and troubleshooting.

School Profile

The School Profile menu contains the School Management option, View Traffic Statistics, and Year Term Conversions:

The School Management page for the School Administrator contains several tabs:

  • T-Rex
  • Users

Profile Preview tab

The Profile Preview tab contains institution information that is customizable by the School Admin:

Promote Your School

Branding is managed on the Profile Preview page. To learn about branding, see the Promote Your School page.

Edit Profile

School Administrators also have access to additional controls to the school's profile by way of the Edit Profile toggle button.

General Information tab


General Information functionality is restricted to School Administrators only.

The General Information tab contains fields autopopulated with data from the National Center for Education Statistic (NCES). All admin changes made to the data in the General Information tab will supersede NCES data.

Contact Emails tab


Contact Emails functionality is restricted to School Administrators only.

The Contact Emails tab provides an area for School Administrators to manage the way contact emails are routed within the institution.

Location tab


Location functionality is restricted to School Administrators only.

The Location tab allows Administrators to customize the location information that will display in the Profile Preview area.

Campuses tab

The Campuses tab lists the alphabetical names of satellite campuses to your institution by city and state:


T-Rex tab

The T-Rex (Transfer Rule Extractor) tab is used to manage transfer extraction at Peoplesoft-only institutions. School Admins have read-only access to T-Rex:

Users tab

User management is performed by the School Admin entirely within the Transferology Lab application. The Users tab presents a comprehensive, detailed listing of active and inactive Lab users associated with your account. School Admins may manage Lab users (e.g., edit users, create users, export a list of users).

+ Create User

The + Create User button () allows School Admins to create new users in the Lab.

Edit User

The Edit button () allows School Admins to edit users on the Users tab. For more information, see the user info section.


The Export button () allows School Admins to export the list of Transferology users in the table on the Users tab.

Course Catalog Import/Export

Course Catalog import and export is where School Administrators may import new course catalogs, e.g., to override an existing catalog, or export existing course catalogs.


Course Catalog import and export is a Lab area that is specific to the School Admin role.

View Student Statistics


View Student Statistics is functionality restricted to School Administrators only.

View Student Statistics allows School Administrators in the Lab to view stats on student usage within Transferology as it pertains to a wide variety of topics (e.g., on courses, search results, programs). These reports may be used to analyze student usage to identify areas in need of improvement.

Year Term Conversions

Year Term Conversions map a month and year to the year term for an institution.

Promote Your School

Promote Your School (available to all Lab users since the 1.6.2 release) serves as a branding and marketing resource for Lab users searching for general guidelines regarding Transferology brand use, including the following:

  • Promote your school using referral links and badges
  • Logo assets
  • Guidelines for ads and marketing materials

Pathway Management

* New in 1.7!  

Pathway Management is an area where transfer agreements between your institution and its partner school may be managed and approved for student viewing. These agreements, or pathways, are sometimes referred to as "transfer pathways" or "2+2 agreements. Pathways are established one-on-one between partnering schools through mutual agreement. Pathways allow students to explore transfer options between schools to take advantage of these partnership agreements, e.g., by taking the first two years at a local community college followed by two more years at a four-year university.
